Front desks juggled a booking tool, a billing tool and a spreadsheet that reconciled the two. Double bookings were weekly.
Idea
One system for bookings, rooms and invoices, migrated clinic by clinic behind a feature flag. We recommended against AI here, and said so in writing.
The details that mattered
Room-aware booking
Appointments reserve a therapist and a room together, so neither can double book.
Clinic by clinic
Each clinic switched on its own date, with the old tools read-only for a month.
Invoices from bookings
An attended appointment becomes an invoice; no spreadsheet in between.
Outcome
Every clinic moved over. The reconciliation spreadsheet was retired.
